Getting Started

Do I need to install anything?

No. PatientPort runs in the browser. Once an account is opened for your clinic, you invite your staff by email; anyone who wants to can add it to their phone's home screen.

Which devices does it work on?

It works in up-to-date Chrome, Safari and Edge browsers, on computers, tablets and phones. The desktop and mobile versions use the same data.

How do I add staff?

Add the person in Settings > Staff and send an invitation. The invitation link is valid for 48 hours; if it expires, you can send it again with one tap. If the email does not arrive, you can copy the link and send it in a message.

Can we move our existing Excel records?

Yes. You download the template from Settings > Patient Import (Excel) and import it yourself; this feature is in every package. During onboarding our team also helps you with the transfer. You can download all your patient data back as Excel at any time.

Patients

How do I add a new patient?

Use the New Patient button at the top. A name and a phone number are enough; the arrival date, hotel, doctor and coordinator can be added later. If you enter the arrival and departure dates, the transfers are created automatically.

How is the patient's status (Scheduled, At Hotel, At Clinic) set?

It is set automatically from the destination of the last completed transfer. For example, when the Hotel → Clinic transfer is completed, the patient shows as At Clinic.

Can a patient deleted by mistake be restored?

Yes. Deleted patients stay in Settings > Deleted Patients and can be restored.

Can I see who changed what?

Yes. The Activity Log tab on the patient card lists every change with the person and the date.

Transfers

Can we work with an external transfer company?

Yes. A transfer can be assigned to an external transfer agency instead of your own driver; the transfer details are sent to the agency with a ready-made message template.

How do I know which step the driver is at?

The driver marks the steps "On my way", "Patient picked up" and "Completed" on the task screen; each step shows right away on the patient card and the calendar, and the patient gets a notification. There is no live map tracking.

What if the patient stays at the clinic?

When Clinic is chosen as the hotel, the transfers are planned as Airport ↔ Clinic.

Payments

Can treatment be split into several visits?

Yes. The payment plan can be split from a single visit up to 10 visits; each visit's price and remaining balance are shown separately.

Which currencies are supported?

Euro, pound sterling, US dollar and Turkish lira.

How is a refund recorded?

A refund is entered on the payment screen. The refund amount is taken off the payments received; the line is not deleted and stays visible in the history.

Patient Portal

How does the patient log in to the portal?

With their phone number and their own access code. The Send to Patient button on the patient card shares the login link and the code in a ready-made message.

Can the access code be changed?

Yes. You can give a new code in the Access Code field on the patient card.

Does the patient see the doctor's notes?

No. Doctor notes, medical history notes and internal clinic information are never shown to the patient.

Which languages is the portal in?

Turkish, English, German and Russian. The patient can change the language at any time.

Account and Security

What should I do when a staff member leaves?

Set their staff record to inactive; their open session is closed shortly, and they cannot log in again.

Can another clinic see our data?

No. Each clinic's data is kept separate at the database level. Details are on the Security page.

Who owns our data?

Your clinic. If the subscription ends and you ask for it, your data is delivered in a format that can be exported.
